Online Help - Warning & stop levels
Warning & stop levels are the settings that are used to automatically manage accounts under the Keyfuels Credit Manager service.
Initial Setup
When a customer is first being set as managed, you have the option to provide them with an initial balance and to automatically dispatch a welcome letter.
Contact Preferences
You can set your contact preferences in case we need to notify you or the customer of their warning and stop level related activities.
As a registered dealer, we already have your contact details but you can also choose whether to be notified regarding the stock movements of this customer.
If you would like the customer to be automatically notified when specific levels of stock are reached then please choose the preffered method of contact and enter the associated details.
Daily Drawing Level
We will dispatch two types of notification to help this account manage fluctuations in their daily fuel usage.
- When the account's drawings falls inside the "Courtesy Notification Percentage" of the "Maximum Daily Drawings Total".
- When the account's drawings hit/exceed the "Maximum Daily Drawings Total".
For example, if the courtesy notification percentage is set to 10% and the maximum daily drawings total was set to 1,000 litres, we could dispatch a courtesy notification to both yourself and the customer when the customer has drawn more than 900 litres of fuel that day.
Re-order Level
We will dispatch two types of notification to help this account manage when to re-order fuel.
- When this account's balance falls inside the "Courtesy Notification Percentage" of the "Re-order Level Balance".
- When this account reaches the "Re-order Level Balance"
For example, if the courtesy notification percentage is set to 20% and the re-order level balance was set to 5,000 litres, we could dispatch a courtesy notification to both yourself and the customer when the customers total balance is drawn below 6,000 litres.
Automatic Account Stop Level
The minimum level of stock you are willing to allow the customer to have remaining before the account should automatically be placed on stop.
Actions To Take
When any of the levels detailed above are reached, any one of the following actions may be applied:
- Do nothing
- Notify the customer - send a notification to the customer who operates the account
- Notify yourself - send a notification to yourself as the Dealer so that you can act manually
- Notify yourself and the customer - options 2 & 3 combined
- Stop the account and notify both yourself and the customer - options 2 & 3 combined as well as placing the account on on stop
